Guidelines For Presenters

In-person spoken presentations

  • The presentation rooms are equipped with a computer, data projector and sound system. To avoid unnecessary formatting and compatibility issues, we recommend that presenters use their own laptop or tablet, which can be connected to our projector system. Please bring any VGA, DVI, HDMI, or other adaptors to connect your device to the data projector, if needed.  UPDATE: Due to live streaming, we will be using one computer for all presentations.  Please prepare slides in PowerPoint or PDF format.
  • If presenting from your own device is not possible, presenters may also choose to upload their presentations to Dropbox and share them with sysmus2017@gmail.com. It is recommended that presenters keep a backup copy of their presentation on a USB stick, and consider e-mailing themselves a copy of their presentation before travelling to the conference.
  • Spoken presentations should last 12 minutes and will be followed by 5 minutes for discussion, with 3 minutes’ time for switching between presentations. Please practise your presentation before the conference to ensure that it does not last longer than 12 minutes, as going over your allocated time will not be allowed.
  • Your final presentation slides should be uploaded via the online system (https://cmt.research.microsoft.com/SYSMUS2017/) no later than 27 August 2017 (the format can be e.g. Powerpoint, PDF, or similar). These slides will then be visible to conference participants.

Virtual spoken presentations

  • Virtual oral presentations should be pre-recorded and sent by Dropbox (or similar) to sysmus17@gmail.com, no later than August 23, 2017. The purpose of pre-recording is to minimise the potential for technical problems caused by Internet connection issues.
  • The presentation should last approximately 12 minutes (hard limit: 13 minutes). The presentation will be followed by 5 minutes for discussion with the audience via Skype.
  • The recording should take the form of a video file in a standard format (e.g. .wmv, .mp4).
  • We recommend that the video corresponds to your presentation slides as you would have them in a conventional presentation, with the audio track corresponding to your narration of the slides.
  • Microsoft Powerpoint provides a feature for recording a narrated version of your presentation as a video (see these instructions).
  • Video footage of the presenter can optionally be included as part of the presentation (for example, the video can cut from the slides to the presenter, or alternatively video of the presenter can be included as picture-in-picture throughout the presentation).
  • In addition, your final presentation slides should be uploaded via the online system (https://cmt.research.microsoft.com/SYSMUS2017/) no later than 27 August 2017 (the format can be e.g. Powerpoint, PDF, or similar). These slides will then be visible to conference participants.

In-person poster presentations

  • The maximum paper size is DIN A0 (84 cm x 119) portrait orientation (height greater than width). If you prefer to have your poster in landscape orientation, it must be DIN A1 or smaller.
  • The language of the poster should be English.
  • Besides the poster, please also prepare a short (one to two minutes max) oral presentation about your poster that you will present before the poster session in a speed poster presentation session.
  • In addition, a single presentation slide should be uploaded via the online system (https://cmt.research.microsoft.com/SYSMUS2017/) no later than 27 August 2017 (the format can be e.g. Powerpoint, PDF, or similar) to accompany your short oral presentation by 27th August with your name, affiliation and any other information you think helps to summarise your study.
  • Material to hang up your poster will be available.
  • Authors are responsible to hang and remove their own posters.
  • An electronic version of your poster (PDF format) should also be uploaded via the online system (https://cmt.research.microsoft.com/SYSMUS2017/) no later than 27 August 2017. This poster will then be visible to conference participants.

Virtual poster presentations

  • Virtual poster presenters should send their poster by post to the following address:

  • A convenient service for both printing and delivering your poster is Solopress.
  • The same size and language guidelines apply as for the in-person poster presentations.
  • Besides the poster, please also prepare a short (one to two minutes max) video presentation about your poster that will be played to the conference attendees before the main poster session.   • After the short video presentation, conference attendees will be able to walk round and see the various posters on display. The poster presenter should be available on Skype during this period. A computer with a Skype connection to the presenter will be on display next to the poster; conference attendees can then discuss the poster with the presenter via Skype.
  • Each poster will be assigned an on-site volunteer who will take care of hanging the poster and facilitating a Skype discussion between live attendees and the presenter.
  • An electronic version of your poster (PDF format) should also be uploaded via the online system (https://cmt.research.microsoft.com/SYSMUS2017/) no later than 27 August 2017. This poster will then be visible to conference participants.
